Vaani + Google Calendar & Gmail
Vaani is Cognitiev's agentic AI platform. Its AI voice and messaging agents talk to your customers, qualify leads and book appointments. Connecting your Google account lets those agents schedule directly into your calendar and lets email workflows know when someone replies. This page explains exactly what we access, why, and how to turn it off.
Google Calendar — appointment booking
When a caller or lead agrees to a meeting, the AI agent checks your availability, offers open slots, and creates the event on the calendar you selected. If plans change, the agent or your workflow can reschedule or cancel that same event.

calendar.events— To book, reschedule or cancel appointments arranged through your agent. We only touch events Cognitiev created.
Gmail — reply detection
Email workflows send follow-ups from your mailbox. With Gmail connected, Vaani notices when a recipient replies to one of those emails so the workflow can stop further follow-ups, notify your team or branch to the next step. We do not read, scan or store the rest of your inbox.

gmail.readonly— To detect replies to emails your workflow sent. We look up specific threads and reply headers only.
Both integrations also request openid and email so we can show which Google account is connected.
How connecting works

Open Integrations
Sign in to the Vaani dashboard at voice.cognitiev.com and go to Dashboard → Integrations.

Choose Google Calendar or Gmail
Each integration is separate and optional. Click Connect on the one you need.

Review Google's consent screen
Google shows exactly which permissions Cognitiev is requesting. You can decline at any time and nothing is stored.

Pick your settings
For Calendar, select the calendar your agent should book into. For Gmail, choose which workflows may watch for replies.
What we store and how we protect it
- Your Google account ID and email, to label the connection.
- OAuth tokens, encrypted at rest and used only by our servers.
- The selected calendar and the IDs of events Cognitiev created.
- For Gmail: IDs of threads your workflow sent and, when a reply arrives, that reply's sender, subject and text so the workflow can act on it.
- Nothing is used for advertising, sold, or used to train AI models. Our use of Google user data follows the Google API Services User Data Policy, including the Limited Use requirements.
Disconnecting
- Click Disconnect in Dashboard → Integrations. We revoke the token with Google and delete the stored tokens, calendar selection and thread references immediately.
- Or remove Cognitiev from myaccount.google.com/permissions.
- Appointments already on your calendar stay there unless you delete them.
- Deleting your Cognitiev account removes all Google data with it. You can also email [email protected].
